For every direct reservation / booking made through our online booking system, we charge a payment, deposit, or reservation fee (depending on the event).
Unexpected situations can always occur. However, it is unfortunate for everyone if someone does not show up and tour spots remain empty, while others would have gladly participated. Please inform us in good time.
If you do not attend a booked tour, cancellation fees will apply.
In the event of cancellation (written declaration, for example via WhatsApp), cancellation fees in the amount of the payment, deposit, or reservation fee already made will apply.
Dear BOOK@FRIENDS Guest,
The following terms and conditions form part of the contract concluded between you (hereinafter “Customer”) and us (hereinafter “Agent”).
a) The basis of the offer are the tour descriptions and supplementary information provided by the Agent’s partners for the respective tour, as published on the website.
b) The pre-contractual information provided by the Agent regarding the essential characteristics of the tours, the price and all additional costs, payment modalities, minimum number of participants, and cancellation costs shall form part of the contract unless expressly agreed otherwise between the parties.
c) If price reductions depend on age (e.g., child discounts / free participation for infants), the child’s age on the contractually agreed tour date shall be decisive. This age must be stated at the time of reservation.
a) By making the reservation (tour registration), the Customer submits a binding offer to the Agent to conclude the contract.
b) The contract is concluded upon receipt of the reservation confirmation by the Agent. Upon or immediately after conclusion of the contract, the Agent will send the Customer a reservation confirmation on a durable medium (e.g., WhatsApp or email), enabling the Customer to store it unchanged.
a) The booking process is explained to the Customer within the respective application.
b) The Customer is provided with an option to correct entries, delete, or reset the entire booking form prior to submission.
c) The contract languages available for the electronic reservation are specified.
d) If the contract text is stored by the Agent, the Customer will be informed accordingly and about the possibility of later access.
e) By clicking the button “book with obligation to pay” or similar wording, the Customer submits a binding offer to conclude the contract.
f) Receipt of the tour registration will be confirmed electronically without delay (acknowgment of receipt).
g) Submission of the tour registration does not in itself constitute a claim to the conclusion of a contract.
h) The contract is concluded upon receipt of the tour confirmation by the Agent on a durable medium. If confirmation is displayed immediately after pressing the button, the contract is concluded at that time. The binding nature of the contract does not depend on whether the Customer actually stores or prints the confirmation.
The Organizer points out that according to statutory provisions (§ 651a and § 651c German Civil Code), there is no right of withdrawal for distance contracts relating to travel services.
2.1. For reservations made via the online booking system, the remaining tour price must be paid in full on site to the local tour guide / tour operator. Any tour voucher will be credited toward the tour price. The Customer acknowledges that bookings via the online booking system may include a deposit or reservation fee, which may involve additional payment processing fees (e.g., credit card), compared to direct bookings.
2.3. If the Customer receives an invoice and confirmation directly from the Agent, payments discharging the debt must be made exclusively to the Agent.
3.1. Deviations from essential characteristics of agreed services that become necessary after contract conclusion and were not brought about in bad faith are permitted before the start of the tour, provided such deviations are insignificant and do not materially affect the overall character of the tour.
4.1. Tour Voucher and Validity
Upon booking, the Customer receives a tour voucher that is valid indefinitely. The voucher entitles the Customer to one-time participation in the booked tour and may be redeemed at a later date upon timely agreement of a new date with the tour operator. Refund or cash payout of the deposit or reservation fee is excluded.
4.2. No Cancellation or Refund
Since booking grants a permanently valid entitlement to participate in the tour, the payment, deposit, or reservation fee is considered binding and non-refundable, regardless of the originally selected date.
4.3. Rebooking in Case of Illness or Impediment
If the Customer cannot attend due to health or other valid reasons, the voucher may be rebooked to a new date in coordination with the organizer. Upon request, confirmation for travel cancellation insurance purposes will be issued; however, no refund claim arises.
4.4. Exceptional Cases
In justified exceptional circumstances (e.g., permanent impossibility or death), the organizer may consider transferring the voucher to a third party as a goodwill gesture. There is no legal entitlement to this.
5.1. Rebooking of the tour date is permitted once up to 22 days before the tour date, subject to availability.
5.2. A processing fee of €30.00 applies, in addition to any price difference and documented additional costs, unless based on inadequate pre-contractual information.
5.3. According to § 651e German Civil Code, the Customer may request that a third party enter into the contract. Notice must be given at least 7 days before the tour. The original and new participant are jointly liable for the tour price and any additional costs.
If the Customer does not use services that were duly offered and available, no refund of the payment or reservation fee is granted if the reason is attributable to the Customer.
7.1. The local tour guide / organizer may terminate the contract without notice for good cause, especially if the Customer persistently disrupts the tour or behaves contrary to contract despite warning. Criminal offenses justify immediate termination. The full tour price remains payable.
7.2. If the Customer fails to pay despite reminder, the Agent may withdraw from the contract and claim compensation.
a) The deposit secures the booking.
b) Deposits are non-refundable in case of cancellation by the Customer.
c) If the provider cancels, the deposit is fully refunded.
a) Cancellation up to 14 days before tour start: 70% refund of the amount beyond the deposit.
b) Cancellation up to 7 days before tour start: 50% refund of the amount beyond the deposit.
c) Less than 7 days before tour start or no-show: no refund.

Before initiating a chargeback procedure, the Customer agrees to contact BOOK AT FRIENDS at shop@bookatfriends.com to allow clarification.
The Agent is not liable for service disruptions or damages relating to services merely arranged as third-party services.
Customer data is collected, stored, and processed in compliance with applicable data protection laws. Data will only be shared if necessary for tour execution or required by law.
The law of the United Arab Emirates applies, excluding conflict-of-law provisions and international conventions. Exclusive place of jurisdiction is Ras Al Khaimah, UAE, where legally permissible.
